Terms of Service

1. Acceptance of Terms

By creating an account and using FlyerSupplier ("the Service"), you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use our Service. FlyerSupplier is an AI-powered invoice data extraction platform that allows users to upload invoice documents and extract structured data from them.

2. Description of Service

FlyerSupplier provides the following services:

• Invoice Upload: Users can upload invoice documents (PDF, images) for processing.
• AI-Powered Data Extraction: Our system uses artificial intelligence to extract key information from invoices, including vendor details, invoice numbers, dates, line items, totals, and VAT information.
• Data Review & Editing: Users can review and edit extracted data before finalizing.
• Excel Export: Extracted data can be exported to Excel format for further use.
• Extraction History: Users can access their past extractions at any time.

3. Account Registration

To use FlyerSupplier, you must create an account by providing accurate and complete information. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You agree to notify us immediately of any unauthorized use of your account.

4. Credit System & Payments

FlyerSupplier operates on a credit-based system:

• Free Credits: New users receive 10 free credits upon registration.
• Credit Usage: Each successful invoice extraction consumes 1 credit.
• Monthly Subscriptions: Users can subscribe to monthly plans to receive credits automatically each billing cycle. All prices are in South African Rand (ZAR).
• Credit Rollover: Unused credits from subscriptions roll over to the next month.
• Payment Processing: Payments are processed securely through Paystack. By subscribing, you authorize recurring monthly charges to your payment method.
• Cancellation: You may cancel your subscription at any time. Credits received before cancellation remain in your account.
• No Refunds: All credit purchases and subscription payments are final and non-refundable. Once credits have been purchased or a subscription payment has been processed, no refunds will be issued under any circumstances.

5. Acceptable Use

You agree to use FlyerSupplier only for lawful purposes. You shall not:

• Upload documents containing illegal, fraudulent, or malicious content.
• Attempt to circumvent or manipulate the credit system.
• Use the Service to process documents that you do not have the right to access or use.
• Interfere with or disrupt the Service or servers connected to the Service.
• Attempt to gain unauthorized access to any portion of the Service.
• Use automated tools to access the Service without our express written permission.

6. Data & Privacy

Your privacy is important to us:

• Document Storage: Uploaded invoices are stored securely in cloud storage (AWS S3) and are only accessible to you.
• Data Processing: Invoice data is processed using AI to extract information. This processing is done to provide the Service.
• Data Retention: Your invoices and extracted data are retained in your account until you delete them or close your account.
• No Sharing: We do not sell, rent, or share your invoice data with third parties except as required to provide the Service or as required by law.
• Security: We implement industry-standard security measures to protect your data, including encryption in transit and at rest.

7. AI Extraction Accuracy

FlyerSupplier uses artificial intelligence to extract data from invoices. While we strive for high accuracy, AI extraction is not perfect and may contain errors. You are responsible for reviewing and verifying all extracted data before use. We provide a review and editing interface to help you correct any inaccuracies. FlyerSupplier is not liable for any errors in extracted data or decisions made based on that data.

8. Intellectual Property

The Service, including its design, features, and functionality, is owned by FlyerSupplier and is protected by intellectual property laws. You retain ownership of all documents you upload and data extracted from those documents. By using the Service, you grant us a limited license to process your documents solely for the purpose of providing the extraction service.

9. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, FLYERSUPPLIER SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, OR BUSINESS OPPORTUNITIES, ARISING FROM YOUR USE OF THE SERVICE. OUR TOTAL LIABILITY SHALL NOT EXCEED THE AMOUNT YOU PAID US IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM.

10. Disclaimer of Warranties

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR COMPLETELY SECURE. WE DO NOT GUARANTEE THE ACCURACY OF AI-EXTRACTED DATA.

11. Termination

We reserve the right to suspend or terminate your account at any time if you violate these Terms of Service or engage in conduct that we determine, in our sole discretion, is harmful to the Service or other users. You may close your account at any time by contacting us. Upon termination, your right to use the Service will immediately cease.

12. Changes to Terms

We may update these Terms of Service from time to time. We will notify you of any material changes by posting the new Terms on this page and updating the "Last updated" date. Your continued use of the Service after such changes constitutes your acceptance of the new Terms.

13. Governing Law

These Terms of Service shall be governed by and construed in accordance with the laws of South Africa, without regard to its conflict of law provisions. Any disputes arising from these Terms or your use of the Service shall be subject to the exclusive jurisdiction of the courts of South Africa.
